Position Announcement
Position: Confidential Aide – City Manager’s Office
Reports To: City Manager and Deputy City Manager
The City of Cape May is seeking a highly organized and professional individual to serve as Confidential Aide to the City Manager’s Office. This position provides administrative and personnel support to the City Manager and Deputy City Manager.
Responsibilities include, but are not limited to:
Manage and maintain employee personnel files, including personnel action forms, disciplinary documentation, performance reviews, certifications, licenses, emergency contacts, employment applications, resumes, job descriptions, and offer letters.
Collect and maintain copies of employee licenses, certifications, and training records, with appropriate approvals prior to placement in personnel files.
Assist with scheduling and coordination of internal and external meetings for the City Manager and Deputy City Manager.
Maintain and update the City’s internal telephone directory and contact lists.
Assist in coordinating the Mayor’s Wellness initiatives in collaboration with City Administration.
Create and maintain purchase order tracking records for administrative and engineering projects.
Provide general administrative support to the City Manager’s Office and assist with special projects as assigned.
Strong organizational and administrative skills a must.
Ability to maintain strict confidentiality on various sensitive topics when handling sensitive personnel and administrative matters.
Excellent communication and time management abilities.
Proficiency in Microsoft Office, Adobe, and standard office software.
Ability to work independently and manage multiple priorities.
Or like duties as assigned.
Experience with Edmunds Financial Software & New Jersey Civil Service procedures, preferred
Prior municipal government experience preferred, particularly in an administrative or human resources support role.
Salary: $45,000 - $65,000; commensurate with qualifications and experience.
